Operations Manager


We are seeking a motivated individual to work full time helping to oversee the day to day operations of the organization.

Responsibilities:
This Operations Manager position is a wonderful opportunity for a career-minded and values-driven individual to experience an entrepreneurial and growing business model that supports our local community. This role also provides the opportunity to directly and positively impact the lives of animals through working for a non-profit.

Responsibilities include but are not limited to:
· Manage the clinics daily business and operational performance. Work with Executive Director to create new protocols and procedures to save time and money for the clinic.
· Work with Office Manager to oversee the operations of the main service counter and receptionists
· Back-up Office Manager and receptionists on incoming phone calls and book appointments when needed. Assist with check in and check out of patients as needed
· Manage the day to day operations and patient flow as per Veterinarian’s written protocols.
· Work with Veterinarians to improve and develop time saving protocols and improve patient safety.
· Oversee running employment ads, interviewing and make job offers with input of Veterinarians (excludes hiring Veterinarians).
· Assist in the training of all Veterinary Technicians, help to develop a two week training module for each tech position to streamline training of newly hired Vet Techs. Follow up with Techs after the training period and administer testing to ensure they are fully trained before they move to next training module.
· Work with Veterinarians on annual Vet Tech performance assessments and reviews, including raise recommendations to the board. Also, Vet Tech counseling and development.
· Assist Executive Director and Office Manager with staff scheduling and time off requests if needed. Back-up the Executive Director and Office Manager to process payroll when needed
· Assist Office Manager with reviews and feedback on all virtual venues. Also, assist the Executive Director and Office Manager with management of the Marketing & Development Associate, including website updates and maintenance. Ensure quality client services and address customer service issues that Office Manager cannot resolve.
· Assist Office Manager with the collection of accounts receivables, including volume client billing and collections.
· Assist Executive Director and Office Manager with overseeing monthly financials. Back up Office Manager on payment of monthly invoices and sales tax payment/reporting
· Manage the ordering of all office and medical supplies. Run regular price analysis to ensure the best prices for items we order regularly. Start meeting with sales reps and developing relationships with them, request quarterly staff pet samples.
· Attend quarterly Board Meetings as requested. Organize annual all staff meeting and quarterly tech meetings. Attend quarterly reception meetings. Attend monthly core staff meetings.
· Assist in all fund raising efforts and special events. Assist Executive Director with identifying, writing, and reporting on grants
· Assist Executive Director with Transport program development and management (development on hold at this time).
· Oversee volunteer recruitment, scheduling, and training
· Take lead as insurance Liaison

Requirements:
3 -5 years management experience a must.
1-2 years-experience in a veterinary clinic or animal hospital required, Veterinary Technician experience strongly preferred.
Proven problem solving skills and an ownership mentality
Ability to work effectively and with minimal supervision
Must embrace and support the organization’s mission

Job Type: Full-time
Salary: Up to $60,000.00 per year

Veterinary Technician

Responsibilities: The Veterinary Technician role is a wonderful opportunity for a career-minded and values-driven individual to experience an entrepreneurial and growing business model that supports our local community. The individual will be responsible providing quality patient care and support all surgical patients as well as assist with the maintenance of preventative health programs while adhering to all medical protocols.

Additional responsibilities include:
  • Promote the humane care and treatment of animals at all times.
  • Assist Veterinarian in the pre-op examination of patients.
  • Prepare all patients for surgical sterilizations (roughly 35-55 patients per day)
  • Monitor patients post-op to ensure appropriate recovery and healing.
  • Inoculate patients
  • Ensure cleanliness of office for prevention of infectious/zoonotic disease.
  • Stay current and research trends pertaining to safe and efficacious medical protocols.
  • Assist with post-op rechecks and the ordering of medical treatments as necessary to ensure complete surgical recovery.
  • Actively promote spay and neuter, and educate clients on responsible pet ownership.
  • Provide high quality service to all clients, volunteers and staff.
  • Adhere to goals, objectives, methods and costs necessary to accomplish the mission of the organization.
  • Maintain an open door policy and provide direction and support to staff members
  • Meet with Veterinarian monthly to establish and discuss scheduled goals and key objectives.
  • Participate in and provide proof of continuing education requirements.
Requirements:
  • Ability to work a flexible part time schedule, with a possibility of  full time work
  • Veterinary Technician Certification a plus but not a requirement
  • 1-2 years experience functioning in a veterinary surgical environment, high-volume of spay and neuter surgeries a plus.
  • High energy and inspirational attitude
  • Strong written, oral, and interpersonal communication skills with demonstrated success in collaborating within all levels of business; and the ability to work effectively with a diverse community
  • Demonstrated ability to drive results and strong commitment to client service
  • Proven problem solving skills and an ownership mentality
